Wire it up in your email tool

Connect capture to sequence so the machine runs itself: a new contact hits your form and drops straight into the right automated sequence, with no manual sends.


Step 7 of this pathway. You have a form feeding a list (chapter 2) and sequences written (chapters 3–5). Now connect them so it runs without you. This is the wiring session. When you finish, a stranger fills out your form and, with no action from you, starts getting the right emails on the right schedule.

The one concept that makes this click: the automation. Every email platform has a feature usually called an automation, sequence, journey, or flow. It's an if-this-then-that machine: trigger (something happens) leads to action (an email goes out), on a schedule you set. You're going to build one.

The pattern you're building:

  • Trigger: contact joins the list with tag "website-form."
  • Action 1: send Welcome email immediately.
  • Wait: 2 days.
  • Action 2: send "the problem I solve" email.
  • Wait: 2 days. Then email 3. Wait. Then email 4.

That's the welcome sequence from chapter 3, now on rails.

Do it in this order (this works in Mailchimp, ConvertKit, Beehiiv, and most others; the labels differ slightly):

WIRE-UP STEPS: 20-30 min

[ ] 1. Open your email platform -> Automations (or Sequences /
       Journeys / Flows). Create a new one.

[ ] 2. Set the TRIGGER:
       "When a contact is added to [your list]
        with tag [website-form]"

[ ] 3. Paste in Email 1 (Welcome). Set it to send IMMEDIATELY.
       This is also your missed-lead reply for form leads.

[ ] 4. Add a WAIT step: 2 days.

[ ] 5. Paste Email 2. Add WAIT 2 days.

[ ] 6. Paste Email 3. Add WAIT 2 days.

[ ] 7. Paste Email 4 (the invite / CTA).

[ ] 8. Check every merge tag has a fallback (from chapter 6).

[ ] 9. Turn the automation ON / set it LIVE.

[ ] 10. RUN THE FULL TEST (below).

The full test (do not skip). Add yourself as a contact with the "website-form" tag (or fill out your real form). Then confirm:

  • Welcome email arrives within a couple minutes.
  • Your name renders correctly (and a blank name shows your fallback).
  • Links and buttons work: click every one.
  • The automation shows you "in" the sequence, waiting for email 2.

If you want to see the timing without waiting six days, most platforms let you temporarily shorten waits to a few minutes for testing, then set them back. Or just trust the timers once email 1 fires correctly.

Caution: customer data. You're now running live contacts through this machine. Keep the whole thing inside your email platform. Don't export the list into public tools. When you tweak copy later with AI, edit the template, not real contacts.

Common wiring mistakes to check:

  • Automation left in draft: it must be ON.
  • Trigger tag doesn't match the tag your form sets: they must be identical.
  • Two automations firing on the same trigger: pick one.

The moment it pays off. Once this is live, your form is a hire that never sleeps. Every lead gets welcomed, nurtured, and invited on schedule, whether one comes in today or fifty come in overnight. You built it once.
