The 4 emails every business needs

The map for the whole pathway: the four automated emails that capture leads, warm them up, chase the sale, and reopen dead ones, so nothing falls through the cracks while you work.

Step 1 of this pathway. Before you write a single email, get the map. Most businesses lose money in the gaps between emails they never sent. Four automated emails close those gaps. Every one runs unattended once you set it up.

Here is the whole system on one page.

1. The missed-lead email. Someone hits your form, calls and hangs up, or fills out a quote request, and then hears nothing for six hours. That silence is where deals die. The missed-lead email fires within minutes: We got your request, here's what happens next, here's how to reach a human. Speed is the whole product. A reply in five minutes beats a reply in five hours, every time.

2. The welcome / nurture sequence. A new contact doesn't know you yet. A short series of 3–5 emails over the first week or two builds trust, answers the obvious questions, and shows you're the safe choice. This is the sequence that turns a cold form-fill into someone who actually wants to talk. You'll build it in chapter 3.

3. The follow-up that books the job. Most sales happen after the first touch, not on it. This is the polite, persistent sequence that moves a warm lead to a booked call or a signed quote. You've already got this one: chapter 4 covers it end to end.

4. The win-back. Old customers and dead leads are the cheapest sales you'll ever make. A win-back email reopens them with a reason to come back. That's chapter 5.

How they connect. Capture feeds all four. A contact comes in (chapter 2), gets the missed-lead reply, drops into the welcome sequence, and (depending on what they do) flows into follow-up or, later, win-back. You build the pieces once. They run on their own.

Why this is worth real money. Each email plugs a specific leak: slow response, cold trust, dropped follow-up, forgotten customers. Any one of them can pay for the whole build in a single recovered deal.

Your move: Copy the checklist below and mark which of the four you already have (even a rough version) and which are missing.

EMAIL SYSTEM MAP: mark [x] have / [ ] missing

[ ] 1. Missed-lead: auto-reply within minutes of a new lead
[ ] 2. Welcome / nurture: 3–5 emails over the first 1–2 weeks
[ ] 3. Follow-up: polite sequence to book the call/job (ch4)
[ ] 4. Win-back: reopen dead leads and past customers (ch5)

Biggest leak right now (pick one): ____________________
Start there.

Most operators find the biggest leak is #1 or #2. Good news: capture is the foundation for both. Next up, chapter 2: getting contacts onto a list cleanly.
