Qualify and Capture

Ask the few questions that separate real leads from noise, and capture the answers cleanly.


Step 4 of 8. Your agent has a persona and an opening. Now give it the questions that turn a random call into a usable lead, and make sure the answers land somewhere you can act on.

Qualify with the fewest questions that still filter. Every extra question costs you callers. Aim for four to six. For most service businesses, you need:

  • Name: who am I talking to?
  • Best callback number: repeat it back to confirm
  • What they need: the service or problem in their words
  • Where: address or service area, so you know if it's in range
  • When / urgency: today, this week, just pricing?
  • One qualifier specific to your business: e.g., property type, budget range, timeline

Capture, not just conversation. A great call that vanishes is worthless. Two ways to save the data, easiest first:

  • Built-in variables: most platforms let you define fields (name, phone, need) that the agent fills during the call and stores on the transcript. Turn these on.
  • A connector to your inbox or sheet: many platforms send the captured fields to a spreadsheet, email, or CRM via a simple built-in integration or a tool like a no-code automation connector. Point it at one place you check daily.

Rules that keep captures clean:

  • Repeat every phone number and spelling back before saving.
  • If the caller trails off, ask again. Don't save blanks.
  • Keep sensitive data private: never have the agent ask for card numbers, SSNs, bank details, or health specifics by voice. Capture name, need, and callback number only; anything sensitive goes through a secure link a human sends later.

Your artifact: paste these questions into your script flow and wire each to a capture field.

QUALIFYING QUESTIONS (ask one at a time, confirm each)
1. "Can I get your name?"                         -> save: caller_name
2. "And the best number to reach you?"            -> save: callback_number (repeat back)
3. "What can we help you with today?"             -> save: need
4. "What's the address or area this is for?"      -> save: location
5. "How soon are you looking to get this done?"   -> save: urgency
6. "[Your one qualifier, e.g. 'Is this for a home or a business?']" -> save: qualifier

CONFIRM BEFORE ENDING
"Let me make sure I have this right: [name], at [number], for [need]. Correct?"

SEND CAPTURED FIELDS TO: [your email / a shared sheet / your CRM]
DO NOT ASK FOR: card numbers, SSN, bank info, or medical details.

With clean leads in hand, Chapter 5 connects the agent to your calendar so it can actually book.
