Handoff and Follow-Up
Escalate the right calls to a human and send a follow-up so no lead goes cold after hanging up.
Step 6 of 8. Your agent qualifies and books. Now build its two safety nets: a clean handoff to a human when the call needs one, and a follow-up so every lead gets a touch even after the line goes dead. These two things are the difference between a demo and a system you'd trust with real revenue.
When the agent must escalate to a human:
- The caller asks for a person; always honor this immediately
- The caller is upset, confused, or mentions an emergency
- The request is outside the script's assets and can't be answered
- A high-value or complex deal the agent shouldn't try to close
How to hand off (pick what your platform supports):
- Live transfer: the agent forwards the call to your cell or a team line. Best experience; set the number and a fallback in case no one picks up.
- Warm promise + alert: if live transfer isn't set up, the agent captures the lead and immediately fires an alert (text or email) to you or your team so a human calls back fast. Set a target callback time and hold to it.
Follow-up so nothing goes cold. Right after the call ends, the agent (or a connected automation) should send:
- A confirmation if an appointment was booked: date, time, location
- A recap + next step if a message was taken: "Got your request, we'll call by [time]"
- Your booking link if they didn't book but were qualified
Keep follow-ups short, branded, and useful. Keep sensitive data private: never restate card numbers, health details, or anything sensitive in a text or email confirmation; reference the appointment, not the details.

ESCALATION RULES
Transfer to a human immediately IF the caller:
- asks for a person - is upset or mentions an emergency
- has an off-script need - is a high-value/complex request
TRANSFER TO: [cell/team number]
IF no answer -> capture lead + alert: "A team member will call you back by [time]."
FOLLOW-UP (send right after the call)
- Booked appointment -> SMS/email: date, time, location, one-line what-to-expect
- Message taken -> SMS/email: "Got your request. We'll call by [time]."
- Qualified, not booked-> send booking link
DO NOT restate sensitive details in any message.
