Book to Calendar
Connect booking so the agent offers real open slots and schedules the appointment during the call.
Step 5 of 8. A qualified lead that doesn't book is a lead you'll chase for days. This chapter turns your agent from a message-taker into a booker: it offers real open times and puts the appointment on the calendar before the caller hangs up.
Two ways to book, easiest first:
- Native calendar integration. Many voice platforms connect directly to a scheduling tool or calendar. You authorize the connection once, and the agent reads your real availability and writes the appointment. This is the cleanest path. Use it if your platform offers it.
- A scheduling-link handoff. If native booking isn't available, have the agent text or email your booking link during the call: "I'll text you a link to grab a time right now." Less magical, but reliable and fast to set up.
Set up before you flip it on:
- Define your bookable window: which days, which hours, how long each appointment runs.
- Set a buffer: don't let it book back-to-back if you need drive time or prep.
- Cap the daily count if you don't want fifteen appointments in one day.
- Pick the confirmation: the agent should confirm the exact date and time out loud, then trigger a text or email confirmation.
Booking-flow rules:
- Offer two or three specific slots, not an open-ended "when works?" Concrete choices book faster.
- Repeat the chosen time back and confirm before saving.
- If nothing fits, fall back to capturing the lead (Chapter 4) and promising a callback.
- Send a confirmation the caller can see: a spoken time is easy to forget.
Your artifact: the booking flow. Add this to your script and connect the calendar step in your platform.
BOOKING FLOW (after the caller is qualified)
1. "I can get you scheduled now. I have [Option A], [Option B], or [Option C]. Which works?"
2. Caller picks -> read availability from: [connected calendar / scheduling tool]
3. "Great, I'll book you for [day], [date], at [time]. That's confirmed."
4. Write appointment to: [calendar]
5. Trigger confirmation: send SMS/email with date, time, and location.
6. IF no slot works:
"No problem. I'll pass your details to the team and someone will call to schedule."
-> save lead per Chapter 4, do NOT leave the caller with nothing.
