Book appointments to your calendar

Connect booking so hot leads schedule themselves: how to wire a booking link or calendar tool into the chat and confirm cleanly.


Step 6 of the pathway. A captured lead is good. A booked appointment is better: it removes the follow-up gap where leads go cold. This chapter connects your assistant to a real calendar so hot prospects book themselves, 24/7.

Two ways to book: pick one

  • Booking link (simplest). Use a scheduling tool that gives you a public link (Calendly, Cal.com, TidyCal, or the booking page built into many CRMs). The assistant shares this link at the right moment. No integration required. Start here.
  • Native calendar integration (smoother). Many chat platforms connect directly to a scheduler so the visitor picks a time inside the chat. Nicer experience, slightly more setup. Upgrade to this once the basic version works.

Set up the booking link (do this first)

  1. Create a scheduling account and one event type, e.g., "15-min intro call."
  2. Set your real availability and buffer times. Connect it to your actual calendar so it never double-books.
  3. Copy the public booking URL.
  4. Paste that URL into the prompt below.

BOOKING FLOW

After capturing a HOT lead's contact info, offer to book immediately:

"Want to grab a time now? You can pick a slot that works here:
[PASTE YOUR BOOKING LINK]
Once you book, you'll get a confirmation by email."

For WARM leads (researching), offer softer:
"No rush. When you're ready, you can book a quick intro call anytime here: [PASTE YOUR BOOKING LINK]"

RULES:
- Only share the booking link AFTER you've qualified and captured contact info.
- Do not invent available times yourself. Let the booking tool show real availability.
- If they book, confirm: "You're all set. Check your email for the details. Anything else?"
- If the link doesn't work for them, capture their preferred day/time in words and tell them the team will confirm.

Caution: keep sensitive data private. The booking tool collects name, email, and time only. Do not add custom fields asking for sensitive data on the booking form.

Test the round trip: open the chat, run through qualification, click the link, book a slot, and confirm it lands on your real calendar with an email confirmation.

Worth in hours: self-booking kills the back-and-forth scheduling emails entirely. That is time back every single week.
